Business writing requires careful research, thought and discipline. The writer may create several drafts before a final version is ready. It is important not to rush business writing, because communications errors in business are potentially embarrassing and costly if they result in lost opportunities, confusion among employees, or customer dissatisfaction.

Tone

Selecting the proper tone is critical in business writing. Purdue University reports that tone reflects the writer’s attitude and approach to the message and the reader. A tone that is harsh and hurried may detract from the message and convey an unintended theme. Business letters, memos and reports should reflect confidence, sincerity, and courtesy. Understanding the reason for the correspondence helps set the right tone. A warm and friendly tone is suitable for congratulating an employee on an accomplishment, but a reprimand requires a tone that is clear, direct and authoritative. Negative messages such as a reprimand should not attack the person, but instead focus on the actions causing the reprimand.

Language

Nondiscriminatory language is best for business writing. A business document should avoid stereotypical terms or phrases that imply gender. For example, it is improper to send a party invitation for “managers and their wives.” That implies that only men are managers. Inviting “managers and their spouses” is nondiscriminatory. It is also preferable to use neutral job titles when possible, such as “chairperson” instead of “chairman” when the business writer does not know if the chairperson is a man or a woman.

Appropriateness

Business writers should usually avoid complex terms and phrases, unless they are writing for a specific audience familiar with the terms. A nurse writing another health care official may use words and phrases not suitable for a similar memo for the patient. Usually, it's best to keep general business writing plain and simple.
